Questions You Need to Ask Before Hiring an Event Planner in Kansas City

Throwing a corporate gala, nonprofit fundraiser, or milestone celebration in Kansas City? An experienced event planner can turn your vision into reality — but first, you've got to ask the right questions. Whether you're planning something in Overland Park, downtown KC, or anywhere in between, here's what you need to know before you hire.

1. What types of events do you specialize in, and how much experience do you have with events like mine?

Event planners are like snowflakes — no two have the same expertise. Some specialize in corporate galas, others in nonprofit fundraisers, and some crush it with social celebrations but have never handled a 500-person conference. You want someone with real experience in your specific event type, not someone who's dabbled. Ask about their portfolio and how many events similar to yours they've executed in the Kansas City market. A planner who's produced dozens of corporate events in our local venues will know the ins and outs that matter.

2. What's your full scope of services, and where do I need to hire separate vendors?

"Event planning" can mean wildly different things. Some planners handle everything from venue sourcing to décor design to day-of logistics. Others just manage timelines and vendor coordination. Get a crystal-clear breakdown of what's included in their fee and what you'll need to hire separately. Will they design your event, or are you bringing a separate designer? Do they handle catering coordination, or is that on you? In Kansas City, where venues like The Madrid or Union Station have their own partnerships, knowing exactly what your planner owns versus what you manage makes a huge difference.

3. How many events do you manage simultaneously, and what's your capacity during my event date?

If your event planner is juggling fifteen events in the same month, they might not have the bandwidth to give yours the attention it deserves. Ask how many events they take on at once and whether they'll have another major event scheduled on or around your date. You need someone whose capacity is protected so they can fully focus on making your event spectacular, not dividing their attention across a dozen other projects.

4. Can you walk me through your event timeline and planning process from start to finish?

Every planner should have a clear, documented process that takes you from initial concept through post-event debrief. Ask them to walk you through exactly what happens at each stage: initial consultation, design development, vendor sourcing, approvals, production, day-of execution. Do they use project management software? How often do you check in? What happens during crunch time? A planner with a solid system will give you confidence that nothing's falling through the cracks.

5. How do you handle vendor relationships and budget management?

A great event planner has relationships with Kansas City's best vendors — caterers, florists, audio/visual teams, lighting designers. But you need to know: do they negotiate on your behalf? Will they bring in your preferred vendors if you have someone in mind? How do they manage your budget to keep you from scope creep? Ask for examples of how they've kept similar events on budget, and whether they provide regular spending reports throughout the planning process.

6. What happens if something goes wrong during my event?

Unexpected things happen at events: a vendor cancels last minute, the weather turns, technology fails, a speaker goes rogue. Ask your planner for specific examples of crises they've navigated and how they handled them. Do they have backup vendors on speed dial? Can they think on their feet? A planner who stays calm under pressure and has contingency plans for common problems is worth their weight in gold — especially for high-stakes corporate or fundraising events.

7. Do you work with my preferred vendors, or do I need to choose from your list?

Some planners have exclusive relationships with certain vendors in the Kansas City area, which can streamline logistics. Others are completely flexible and will work with whoever you choose. Neither approach is inherently better, but you need to know going in. If you've already got a caterer, photographer, or entertainment in mind, make sure your planner is willing to work with them before you sign on.

8. What's your cancellation and payment policy, and are you insured?

Get the boring-but-critical stuff in writing. What happens if you need to cancel or postpone? What's the refund policy? What's the payment schedule, deposit, milestone payments, final balance? And is your planner insured for liability? You want someone who's protected and can protect your interests in writing. Read every detail of the contract before you sign anything.
